Prepare the Description Before the Notification

MHLW explains the import-notification procedure for foods brought into Japan for sale or business use. Its guidance also covers postal shipments. Ask your Japanese importer to establish the applicable procedure and the information needed for the actual material and the proposed use.

Put "Alpinia galanga" next to the Japanese commercial wording you request. Include the plant part, the dried condition, and the delivered form. If a document describes powder while the sample contains larger pieces, resolve that discrepancy before the commercial file is prepared.

Keep a Record of What the Trial Proves

A buyer developing a cooking ingredient can assess preparation, aroma, and handling in its recipe. A processor making a reduced ingredient tests the material on its own line. Neither trial establishes acceptance for an unrelated food, supplement, or medicinal category.

Agree who records the result and which sample is kept as the reference. If the cut or the intended use changes after approval, tell the importer and the production team. The earlier decision does not cover every later variation.

Can We Change the Form After Approving a Sample?

Yes, but discuss the change explicitly. A different delivered cut can affect both the production trial and the product description used by the importer.
